Job Overview

The Executive Assistant provides administrative support to the leadership team and assists with various functions of the school. Reporting to the executive director, the assistant performs a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. 

 

Primary Duties and Responsibilities

  • Coordinate compliance with PCSB, OSSE, and other accrediting agency requirements
  • Serve as liaison to the Board of Directors
  • Provide administrative assistance, such as writing and editing emails, drafting memos, arranging travel, and preparing communications on the executive team’s behalf
  • Organize meetings, including scheduling, sending reminders, and organizing materials when necessary
  • Manage the executive team’s calendar, including making appointments and prioritizing the most sensitive matters
  • Serve as the main administrative contact and liaison with staff and external contacts
  • Welcome visitors and answer phone calls in a polite and professional manner
  • Create and maintain filing systems
  • Answer and route phone calls, mail and e-mail messages
  • Maintain comprehensive and accurate records
  • Perform minor accounting duties
  • Other duties as assigned
 

Basic Qualifications 

  • High School Diploma or GED; Bachelor’s degree preferred
  • Excellent command of English grammar and usage, both in written and oral communications; bilingual (Spanish/English) required
  • Energetic, flexible, imaginative, and eager to work in a bilingual and multicultural public school
  • Strong organizational, problem solving, and computer skills (Google Workspace)
  • Experience working in a school setting preferred
  • Demonstrated good judgment; approachable and professional; solid problem solving skills; ability to handle multiple tasks; well organized; ability to work under pressure and meet deadlines
  • Ability to maintain strict confidentiality is an absolute necessity

Reports to:  Executive Director

Schedule:  12-month full-time position (8:00 am - 4:15 pm)

 

Compensation

Salary is commensurate with experience, ranging from $40,000-$55,000.  Generous benefits package includes medical insurance (health, dental, & vision), retirement plan, life insurance, short-term and long-term disability, flexible spending account (medical, dependent care, and transit), and vacation/sick leave.
